Approve an applicant and create a tenant record
What happens when you approve and how to graduate them to a real tenant.
Approving an applicant doesn't automatically create a tenant record (you might want to coordinate move-in first). Here's the full flow:
When you approve
- The application status moves to Approved.
- If they were on the shortlist, they're removed (they don't need to live there any more).
- A congratulations email is sent (only this email reveals your name; the rest of the flow refers to "the landlord" generically).
- Other pending applicants on the same property are auto-rejected with a polite email.
Creating the tenant record
- From the approved application, open the overflow menu (three dots).
- Click "Create tenant record".
- Confirm.
The system creates a Tenant linked to the same property. The tenant gets an access code so they can log into their own portal.
What's next
- Generate the AST in
/dashboard/contracts. - Add the deposit and protect it with a scheme within 30 days (see our blog post on deposit protection).
- Run the Right to Rent check (the system already captured the share code on the application; verify it on gov.uk).
